The Position:

We are seeking an experienced and energetic Show & Event Planning Coordinator to support our Marketing & Sales Departments.  Ideal candidates will have excellent communication and organizational skills, be self-motivated, able to multi-task and work efficiently. In addition, ideal candidates will have an active CDL or the ability to obtain a CDL.

The Show & Event Planning Coordinator is an asset in the creative support and coordination of shows and events for MiTek/AtlasIED, and a key individual in ensure a high quality, memorable customer experience at events.  The position will maintain the event calendar, inventory tradeshow stock, maintain promotional items inventory and collateral for shows, and will promote and represent the MiTek/AtlasIED brands in a highly professional manner, while assisting in the building, set up and working of MiTek/AtlasIED show booths.  This position will ensure all deliverables for events, rentals, and staff registration are performed on time and within budget, maintaining the log of expenses to ensure all costs are documented.  This position will also help plan MiTek/AtlasIED hosted regional events (i.e. TopGolf and similar) and will support the marketing department in additional activities.

Essential Functions

  • Will offer creative input for design, layout, graphics, and product placement within booth to maximize customer experience at events.       
  • Recommend and maintain inventory of promotional “giveaways,” customer flyers and collateral, banners, and other tradeshow and event related items.  Order as necessary, with prior approval from manager.
  • Responsible for ordering all product used in booths, including MiTek/AtlasIED product and third-party partners in conjunction with technical team members.
  • Responsible for ordering all utilities, carpet, supplies, labor etc. for booths and heavily involved in the A/V and lighting design and installation.    
  • Works as part of an event team, and is responsible for keeping team members informed of any pertinent deadlines and milestones.
  • Maintain tradeshow inventory, routine maintenance of displays, and inventory of support items. 
  • Responsible for the coordination of show, dealer, and MiTek/AtlasIED sponsored vehicles. Will load and unload all vehicles for transport to and from tradeshows and/or events.
  • Represent MiTek/AtlasIED and its products in a highly professional manner, while assisting in the building, set up and working of MiTek/AtlasIED show booths or mobile showrooms.
  • At events, may listen to and resolve customers' complaints regarding products or services, and keep MiTek/AtlasIED up to date on dealer feedback to ensure concerns are addressed.
  • Will take or coordinate photography or videos of road shows, events and tradeshows to submit for marketing use.   
  • Support the promotion of the show through partnership with marketing team members such as Digital Marketing Manager and Graphic Designers.  Align advertising, social, digital, and physical marketing for events within team.
  • Coordinate additional requirements such as security, equipment rentals, utilities, shipping, carpet, and catering services.           
  • Collaborate with the marketing team and organizers to define the strategy and event requirements.
  • Research and present concepts and ideas to the internal manager, organizers, and sponsors for feedback.
  • Prepare, present, and manage budgets, expenses, and negotiate contracts.
  • Secure the venue, plan the layout, and liaise with vendors to determine their booth requirements.
  • Manage the booking and registration of vendors, sponsors, and guests for hosted events.
  • Run the floor to ensure the event operates smoothly, as necessary.
  • Ensure that all health and safety standards are adhered to during the event. 

Essential Tasks

  • Additional marketing related involvement as relevant and required.
  • Drive MiTek/AtlasIED sponsored vehicles to/from tradeshows and/or events.



High School Graduate or General Education Degree (GED)

Bachelor’s Degree in Marketing, Event Coordination or related, preferred


Three to five years in event coordination and planning

Three to five years in negotiating contracts

Three to five years working with outside vendors



  • Microsoft 365, Teams adept

Certificates & Licenses

  • CDL or ability to obtain CDL a plus. 

  • Performing day-to-day administrative tasks such as maintaining information files and processing paperwork.

Other Requirements

  • Demonstrated experience in negotiations and vendor relations,
  • Extensive experience in promotions and event planning,
  • Familiarity with general marketing concepts,
  • Knowledge of tools, including their designs, uses, repair, and maintenance.
