The Position:

We are seeking an experienced and energetic Executive Personal Assistant to provide support for our Chief Executive Officer who has a hectic schedule and multiple travel plans.  This is a great career opportunity for an administrative professional who is looking to grow by providing extremely high level support to the CEO.

Ideal candidates must have excellent communication and organizational skills, the ability to manage multiple responsibilities at a time, maintain a high degree of professionalism and be extremely detail-oriented.  The position also requires the ability to problem solve, think quickly on their feet, be loyal, and demonstrate strong customer service for internal and external partners.

Essential Functions

The Responsibilities:

  • Managing the CEO's extremely active calendar of appointments.
  • Composing and preparing email correspondence that is sometimes confidential.
  • Arranging complex and detailed travel plans, itineraries and agendas, to include compiling documents for travel-related meetings, take notes and responsible for the distribution of meeting minutes, agendas and meeting packages.
  • Ensure efficient operation of the office of the CEO.
  • Researches, prioritizes and follows up on incoming emails, issues and other concerns addressed to the CEO, including items of a sensitive or confidential nature.  Determines appropriate course of action, referral or response.
  • Provides a bridge for smooth communication between the CEO’s office and internal departments.  Demonstrate leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities.  Acts as a barometer – having the sense for the issues taking place in the environment and keeping the CEO updated.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
  • Prioritizes conflicting needs, handles matters expeditiously, proactively and follows through on projects to successful completion, often with deadline pressures.
  • Manage confidentiality and privacy while also creating transparency.
  • Coordinate special events and other projects.
  • Assist with daily activities and projects for the CEO as needed.



Qualifications

Requirements:

  • Bachelor’s Degree in Business, Management or Related Field
  • Minimum of 3 years experience at the Executive Level
  • Maintain trustworthiness, confidentiality, and is discreet
  • Takes ownership and goes the extra mile
  • Demonstrate a positive, friendly and professional attitude
  • In depth knowledge of communication software, Microsoft Office, social media and other technology
  • Flexibility to support the CEO after hours or on weekends, as necessary
  • Willing to travel and represent the CEO at industry events
  • Excellent interpersonal and relationship building skills
  • Excellent problem solving skills and resourcefulness
  • Exceptional communication
  • Must have a strong work ethic and be reliable in attendance and punctuality
  • Previous managerial and/or leadership experience preferred
